When I began my career as a CPA over 25 years
ago, we used a pencil and columnar paper to record and track payroll activity
for our clients. Payroll recordkeeping was just beginning to be outsourced and
it was a welcome relief to be able to refer clients to a company that was
dedicated to payroll processing. Clients were able to save money and mainframe
computers reduced calculation errors tremendously. Back then, our CPA firm
declared We are out of the payroll business; we are going to outsource it
from this point forward.
Unfortunately, some of the biggest
payroll service providers have not kept pace with the technological
advancements that have taken place in even the last 10 years. Some of the same
legacy systems that were state of the art 25 years ago have only been
fixed to work with new, more modern operating systems of recent
years. I set out to see if there was a way to improve the payroll process by
implementing some of the technological improvements that have taken place in
these last 25 years.
I knew the current technology was available to
offer a better solution at a price that would be much less than current payroll
service providers and would likely offer more features for an employer. It
seemed only natural to me that our clients should be able to use the internet
to process their payroll checks and reports on their schedule and to process
payroll on demand and have it all be done electronically. After thoroughly
studying the options, it was clear that there was a need to offer a better
payroll service over the internet.
The result of our analysis was the
birth of Pain Free Payroll. All payroll activity is done on an electronic basis
and paper can be completely eliminated. Of course, if paper records are
required, they can always be printed out, but most clients like the idea of
only having to print reports and journals when needed, rather than store reams
of paper. Employees get their pay stubs via email and reminders for all payroll
activities are sent via email to the person who handles the payroll. All
records are available online and all quarterly reports and annual w-2s
are filed and stored electronically. Employees can all be paid by direct
deposit (even employees without bank accounts through our Paycard VISA debit
card), so there is no need for paper checks. A CPA is always available if there
are any questions that need to be answered and we generally offer this service
at about half the price of our competitors. We are very excited to be able to
provide our customers with the most advanced payroll service available today at
a price substantially less than the competition.
